Administrative Assistant
Silk & Snow is a Toronto based, digitally native business that offers thoughtfully designed bedding products with a frictionless customer experience. We are a small and highly collaborative team, looking to add an organized, detailed oriented individual to join the Silk & Snow team as an Administrative Assistant.
The Role:
- Act as local point of contact and partner for colleagues and on-site functions (including mail, business equipment, food service, janitorial and maintenance staff) responding to requests and identifying/resolving issues quickly and effectively
- Enhancing employee satisfaction, improving service quality and managing costs.
- Order and maintain office, kitchen, and cleaning supplies and equipment
- Responsible for developing and implementing office policies by creating procedures and standards to guide the operation of the office
- Initial training and onboarding of new hires, preparing orientation packages and assisting with other HR functions
- Maintains employee records including payroll, benefits, vacations, access and asset management
- Actively participates in the collection of outstanding consumer payments and wholesale accounts. This includes the reconciliation of payments, invoices, data entry and troubleshooting billing issues.
- Proactively call customers and clients to resolve invoicing and payment issues
- Update and reprocess automatic credit card recurring payments
- Provide executive support to the senior management team
- Keep the common office areas such as lobby, boardrooms, and lunchroom neat and organized
- Work with departments in need of extra help; and other reasonably related duties as assigned
- Ad hoc duties as requested
About You:
- A positive attitude with an ability to exercise good judgement, show initiative and be proactive
- Extremely proactive self-starter with a strong sense of personal accountability and ownership in their work
- High standards of ethics and confidentiality to handle sensitive information
- Capacity to use all communication channels including phone, in-person, and written
- Ability to maintain confidentiality and exercise discretion
- Extremely organized and detail oriented with a proven ability to effectively manage and prioritize multiple tasks
- Strong analytical skills with knowledge of MS Excel
- Excellent understanding of luxury home and bedding company
- At least 1.5 years of experience in corporate administrative procedures
- Highschool Diploma
- Good English language skills
