Position: Administrative Assistant

POSITION OVERVIEW

BIC Canada Immigration is seeking to hire Administrative Assistants at its main office in Brampton. The right person for this job will have the natural ability to engage all clientele coming through the office, making them feel welcomed and accommodated. An ideal applicant will also have attention to detail, previous experience in an administrative position and high level of computer proficiency.

POSITION SUMMARY

POSITION: Administrative Assistant
LOCATION: Unit#24, 811 Bovaird Drive W, Brampton, ON, L6X0T9
NO. OF POSITIONS: 4
WEEKLY HOURS: 32.5 hours per week
SALARY OFFERED: $42,500.00 per annum; Paid on semi-monthly basis. The gross salary paid is subject to applicable Federal and Provincial income taxes and other statutory deductions.
DURATION/TYPE: Permanent/Full Time
VACATION: 4% of the Gross salary

RESPONSIBILITIES

  • Providing a high level of service in answering and directing of incoming phone calls and emails in a professional and efficient manner
  • Maintaining general company voicemail box, including transferring messages to the correct members of staff
  • Book appointments and meetings for members of staff
  • Prepare initial consultation and retainer agreements for the clients
  • Basic data entry into IRCC and ESDC forms and gathering information and documents from the clients
  • Convey by email of any correspondence received for client’s application and follow up with a phone call if the client hasn’t responded. File a copy of the correspondence as received into the electronic folder for the client.
  • Dealing with basic client enquiries, by phone, fax, email or in person
  • Sorting mail, making courier arrangements and tracking all outgoing packages
  • Oversee office stationary, coffee and beverage supply and order them as required
  • Preparing and maintaining information forms and marketing material
  • Other duties as assigned on daily basis
  • Adhere to and respect the BIC Canada policies and procedures.

DESIRED SKILLS AND QUALIFICATIONS

  • High level of computer proficiency, including, but not limited to MS Outlook, MS Excel, MS Word, Adobe reader and basic internet research skills
  • Ability to multitask and manage multiple priorities, with good time management skills
  • Excellent customer service and communication skills, with a professional demeanor and attitude
  • Resourceful, independent thinking skills with the ability to problem solve in a fast paced environment
  • Fast Learner with a commitment to ongoing training and development

EMPLOYMENT REQUIREMENTS

  • Completion of secondary school is required
  • Minimum one year of experience in an administrative position required. Experience in an immigration firm will be considered as an asset
