Job Summary
The Canadian Institute of Traditional Chinese Medicine seeks a dedicated and detail-oriented Medical Office Manager to support our growing team. This role is essential in maintaining the smooth operation of our clinic and ensuring an excellent patient experience in a healthcare setting specializing in Traditional Chinese Medicine (TCM).

Key Responsibilities
- Manage and coordinate the daily operations of the clinic and administrative office to ensure an efficient and professional environment.
- Interview patients to obtain case histories and ensure accurate intake documentation.
- Schedule and confirm patient appointments, student clinic shifts, and supervision sessions.
- Open and distribute regular and electronic incoming mail and other correspondence.
- Supervise front desk and administrative staff, including training team members on procedures and clinic software.
- Complete insurance and other claim forms accurately and on time.
- Maintain and organize medical and academic filing systems, both electronic and physical.
- Initiate, update, and securely maintain confidential medical and student records.
- Perform data entry and prepare electronically formatted medical reports, spreadsheets, and official correspondence.
- Order office and clinic supplies, maintain inventory and liaise with vendors.
- Determine and establish office procedures and routines to support workflow efficiency and regulatory compliance.
- Provide excellent customer service, addressing inquiries and resolving patient, student, and staff concerns.
- Support ongoing quality improvement efforts in clinic operations and customer service delivery.
Qualifications
• Completion of post-secondary education is required.
• A minimum of 2–3 years of experience in a healthcare or clinical setting is preferred.
• Experience in supervising and training staff.
• Strong interpersonal and communication skills with a patient-focused mindset.
• Knowledge of medical terminology and an understanding of Traditional Chinese Medicine (TCM) practices are strong assets.
• Excellent organizational abilities and attention to detail.
• Proficiency in office software and medical scheduling systems.
